The basics

What Does Access Control Actually Involve?

A Plain Explanation Of The Systems, The Hardware And The Administration Behind Them.

Access control is the combination of hardware, software and process that decides who gets through which door. The hardware is the readers, locks, controllers and door hardware, much of which overlaps with the life-safety equipment covered under our Fire Detection & Protection Services and the building systems covered under HVAC Maintenance Services solutions. The software holds the credentials, the access levels and the audit trail of who went where. The process is the part buildings underestimate: issuing a fob to a new employee, revoking one when somebody leaves, granting a contractor temporary access that actually expires, and reviewing the whole list often enough to know it is accurate. A system installed well and administered poorly gives a building the appearance of control without the substance, which is usually worse than no system at all because everyone assumes it is working.

An Unmanaged Access System

A Managed Access Program

CREDENTIAL DRIFT

The Access List Is Wrong In Almost Every Building We Survey.

Access lists decay quietly, in the same way Learn about our Pest Control Services programs treat conditions that decay quietly until somebody looks for them. An employee leaves and their fob is never returned or deactivated. A contractor is given access for a two-week fit-out and still has it three years later. A tenant vacates a unit and hands back four fobs when six were issued. None of this is anyone’s fault exactly, because deactivating credentials is nobody’s actual job. The result is a building where the door hardware works perfectly and the list of people who can open it is fiction. An access audit is usually the single most useful thing a building can do for its security, and it costs nothing but the time to run the report and reconcile it against a current staff and tenant list.

Industries

Industries We Serve

What Needs Protecting Changes Completely By Building Type.

A warehouse is protecting stock and controlling who reaches a loading dock, the same access points covered under Parking Management Services. A residential building is protecting residents, where a working fob in the wrong hands is a safety matter rather than a loss. A long-term care home has the unusual problem of controlling exit as well as entry. A data centre needs an audit trail precise enough to satisfy a client’s own compliance review, much like the standards covered on See our Office Building Facility Management page. The access levels, hardware and audit frequency are set around what your building is actually protecting.

How it works

How Our Access Control Process Works

1

Access Audit

We review your current system, hardware and credential list to establish who can open what today, at no cost.

2

Cleanup And Plan

Stale credentials are identified for revocation and a plan covers hardware faults, gaps and access levels.

3

Process Setup

Issuing, revoking and temporary access are put on a defined process rather than handled ad hoc.

4

Ongoing Administration

Credentials are managed as people join, leave and change roles, and contractor access expires on schedule.

5

Review And Reporting

Scheduled audits confirm the list still matches reality, with hardware conditions reported alongside.

Why Cleaning 365

Why Choose Cleaning 365 For Access Control

The Hardware Is The Easy Part. Keeping The List True Is The Work.

Access Audits That Find Things

Every survey turns up live credentials belonging to people who left, and contractor access that never expired.

Credentials Managed On A Process

Issuing and revoking handled as a defined task rather than remembered by whoever is nearest the software.

Contractor Access That Expires

Temporary access granted with an end date attached, so it closes itself instead of persisting for years.

Access Control Pricing

Door closers, strikes, readers and locks inspected on a schedule, since a failed lock is a security problem and a fire door problem at once.

Licensed Guards On Our Own Staff

PSISA-licensed personnel employed and trained by us, so the guard on your site answers to the same company as the rest of your building services.

What clients say

Trusted By Property Managers

“The audit found forty-one active fobs we could not account for, including several belonging to a tenant who moved out two years earlier. Nothing had gone wrong yet. That was the uncomfortable part.”

Property Manager

Commercial office building, Toronto

“Contractor access used to be granted and forgotten. Now it comes with an expiry date, which sounds obvious but nobody had ever set it up that way here.”

FAQs

Access Control, Answered

Yes. In Ontario both the agency and every individual guard must be licensed under the PSISA, and our guards are licensed and employed directly by us. Ask us for our agency licence number and verify it before you sign, with any provider.

A review of every credential your system recognises, checked against a current staff, tenant and contractor list. It establishes who can actually open your doors today, which is rarely the same as who should be able to.

Frequency depends on turnover. Buildings with regular staff changes, tenant movement or contractor activity benefit from more frequent reviews, and the schedule is set during the initial audit.

Yes. Issuing, revoking and access level changes are handled as an ongoing process rather than left to whoever happens to have system access.

The credential is deactivated in the system, which is what matters. A fob nobody returned is harmless once it no longer opens anything.

Yes. Camera checks, coordination and monitoring arrangements are included alongside access control and guarding.

Yes. Hardware work is scoped to your building and carried out by our own licensed staff, including any electrical work involved.
